Alabama Media Group, Alabama’s largest news and entertainment company, is seeking an Administrative Lead. In this role, you will provide oversite of our sales department’s administrative functions and coordinate administration systems/workflows. Leading an administrative team, you will ensure daily office tasks are completed seamlessly and provide personalized administrative support to the Chief Revenue Officer.

What you will do:

  • Proactively lead day-to-day operations of administrative staff and assesses team with routine audits to identify opportunities for development, efficiencies and process improvements, then implements appropriate solutions.
  • Maintain budgets for expenses related to bonuses, department initiatives and travel.
  • Coordinate utilization of office space, storage and equipment and implement changes to increase effectiveness.
  • Manage leased facilities.
  • Develop and improve existing administrative systems, policies and procedures.
  • Act as the point of contact between CRO and internal/external clients.
  • Produce weekly communication decks, reports, presentations, emails, letters, meeting minutes and briefs.
  • Plan, schedule and promote office events including meetings, conferences, retreats, social functions, client events and training sessions.

For this position you should have:

  • Minimum of five years’ experience working in a role as an administrative assistant with two years as a lead administrative assistant, preferred
  • Proficiency in Microsoft Office including Word, Excel, PowerPoint and Microsoft Teams.
  • Highly skilled in administrative and clerical functions
  • Superior proofreading and editing ability desirable with strong grammar and spelling skills
  • Ability to work in a deadline-oriented team environment
  • Strong work ethic and organizational skills 
  • Excellent interpersonal skills
  • Confidence in delegating and leading the workflow of a team, setting and adhering to deadlines, providing feedback, and ensuring accountability
  • Ability to anticipate needs of CRO and senior leadership, proactively creating actionable plans to address and fulfill needs
  • Experience making critical decisions and recommendations using intuition and reason. Provide sound recommendations to the CRO and make informed decisions with or without CRO guidance.
