Known is looking for a detail-oriented and organized Resource Manager to lead the resource management function across the Entertainment Marketing Department, with a specific emphasis on staffing talent for A/V, Design + Art, Motion, Digital, Social and Project Management Teams. The ideal candidate is a highly motivated self-starter who is able to multitask, make decisions and solve problems in a dynamic, fast-paced environment.

The Resource Manager will report directly to the SVP/Executive Producer and will work closely with the Directors and Producers to identify and schedule all project staffing needs. This includes finding and booking freelance talent, scheduling staff artists as well as securing specialized talent resources from key vendors (when needed). They will also work with various key leads to secure the talent that fits within each project’s scope and budget talent. 

They will develop and enhance resource management processes, as well as continually build and manage freelancer databases to ensure timely staffing of projects across the Entertainment Marketing division. As the team grows, this role is vital in ensuring that staff within their scheduling purview are booked for maximum utilization and efficiency.

Specific Duties

  • Work with A/V, Design +Art, Motion, Digital, Social and Production/Ops leads to maintain department staffing while identifying and forecasting future needs.
  • Organize and upkeep weekly status in preparation for weekly resourcing meetings.
  • Meet weekly with A/V, Design + Art, Motion, Digital, Social and Production/Ops Teams to allocate internal personnel resources across projects.
  • Act as internal lead in communicating the status of freelance resourcing efforts, and maintain accountability for securing and onboarding freelance talent on time and on budget.
  • Facilitate freelancer onboarding process with HR including payroll setup, email introductions, IT onboarding and initial training schedules.
  • Maintain a record of all freelancer engagements. Manage booking dates, mediate conflicts, negotiate extensions and communicate any changes to the engagement terms.
  • Manage weekly check-ins with all team members to determine actual allocations and workloads.
  • Work with Producers to oversee and vet the tracking of internal / freelance team inputs/time cards within our time tracking system. Facilitate the approval of weekly freelance invoices.
  • Lead Entertainment Marketing outreach and recruitment efforts within schools and universities to locate and develop new streams of talent.  
  • Liaison with the Finance Department to approve invoices and costs from key vendors and freelance labor.


  • Knowledge of process around staffing required to deliver best-in-class campaigns for industry leading companies (including A/V, Design, Art, Social and Digital).
  • Proven ability to manage internal resources and secure incremental resources on time and on budget.
  • Ability to navigate ambiguous situations and proactively identify issues/obstacles and effectively create solutions.
  • Proficient in Microsoft Office Suite, Google Suite, and Mac OS programs. Strong proficiency in Excel/Numbers/Google Sheets.
  • Meticulous attention to detail and organizational skills.
  • Ability to be flexible and highly adaptive in a fast-paced environment.
  • Excellent verbal and written interpersonal skills and the ability to communicate clearly and effectively.


  • 5-7 years of resource management experience, ideally in a fast paced agency environment.
  • A Bachelor’s Degree in program management, business, marketing or similar field.
